Privacy – Attendees
Is it possible that personal information such as an attendee’s name, name of the employer, city, province or country is visible and shared publicly?
There are three scenarios where this can happen:
easyREG offers an online directory of all attendees which shows a small selection of information such as their first and last name. The event organizer can choose to also show the name of the employer, city, province and country.
There are several options to mitigate the display of personal private information:
- The event organizer can choose not to offer the directory to attendees.
- The event organizer can limit the information to the first and last name only.
- The attendee can opt of the directory at any time by changing the setting in the profile of the online conference environment.
- The attendee can opt out at the time of registration.
When joining the online session the attendee is asked to enter their name. If they choose to enter their real name in full then that will be displayed in the meeting.
Attendees can mitigate the risk by either using an abbreviated version of their real name of a pseudonym.
If the attendee is using their webcam then the webcam maybe displayed for all attendees to see during the session.
The attendee can mitigate that by keeping their webcam turned off.
If the session is being recorded then the name can be shown or the webcam.
The attendee can mitigate the impact by using the same techniques mentioned in the previous section.
It would also be possible to edit the recording video before it is shared and cover or remove any personal information.
